Who writes the custom interface to import data from my data sources (spreadsheet, fixed asset, real property, and/or GIS system) to PTMS and who pays for it?

TCI creates and maintains a custom interface to transfer all necessary data into PTMS. The cost of this interface, plus any required revisions or additions (including a total rewrite if you change your source system), is included in the annual license fee you pay for your use of PTMS. The required involvement of your IT Department is minimal.


My company expects to change our fixed asset system within the next year or so. Should we wait for our new fixed asset system to be implemented before installing PTMS?

TCI will create a custom interface between your current fixed asset system and PTMS at no charge to you. When you install your new fixed asset system, TCI will create a new custom interface for that new fixed asset system, again at no charge to you. Even if installation of your new fixed asset system is imminent, there is no reason to delay installing PTMS with data drawn from your current fixed asset system. The higher your annual property tax bill and the more burdensome and costly your current personal property tax compliance method, the more expedient and beneficial it will be to install PTMS as soon as possible.

You do not need to have a formal source system to use PTMS efficiently. Our software has been specifically designed to import all necessary data from any data source, including Excel®, Lotus®, Access®, etc. In fact, TCI guarantees PTMS will interface with your data source system, whatever it may be. You will not pay TCI one cent until we have demonstrated and you have approved the PTMS data interface we will create for you.


My IT department will not authorize the licensing of PTMS because they have no time available to implement a new system. Does TCI offer a software option that does not require the involvement of my IT department?

Yes. TCI can host your PTMS system as an Application Service Provider (ASP) on a dedicated TCI server that you will access via the Internet. Such a remote setup will virtually eliminate all involvement of your IT department and allow you to avoid using your own hardware resources for property tax compliance. Your screen response and processing time with an ASP setup would be the same as they would if PTMS were installed on your own in-house server. If you decide to host PTMS in-house at a later date, TCI can easily transfer your PTMS software and database to your in-house server.


How much will PTMS cost?

PTMS is offered on a turnkey basis without any capital investment for the software or for your license to use the software. Your only charge for the full use of PTMS will be an annual software use fee based upon the number of personal property tax returns and/or real property parcels you process through the software. Is there an extra charge per user workstation?

No, there is no extra charge for additional workstations. PTMS may be used on a stand-alone PC or may be installed on your server with network access by any number of local and/or remote workstations. You pay for your use of PTMS based solely on the number of personal property tax returns and/or real property parcels processed through PTMS each calendar year.


What does the PTMS annual software use fee cover?

Everything. There are virtually no extra charges or add-ons. PTMS is installed on a turnkey basis, which means by electing to use PTMS you will receive:

  • TCI's latest version of PTMS covering real property, personal property and inventory, including the most current assessor/collector data, asset depreciation tables and tax calendar dates;
  • Several annual PTMS upgrades and enhancements;
  • A custom interface written by TCI to transfer all necessary fixed asset and/or real property data into PTMS;
  • Maintenance and revision of your custom interface as necessary from time to time, including a total rewrite if you acquire a new data source;
  • Three days of software training in San Diego for up to three persons by the TCI training staff (software training is available at your location for an additional fee);

How will my staff be trained in the use of PTMS?

Proper training is the key to optimal use of any software tool. PTMS is no exception to this rule. TCI recommends new users of PTMS attend a three-day training session at TCI's San Diego Training Center. Training will cover all aspects of the use of PTMS. During training you will use your own data (previously tested by TCI) to ensure your ability to immediately begin filing returns and processing tax bills when you return from your San Diego training session.

A schedule of available training sessions is listed in the Training Information section of this web site. Two TCI trainers run each training session with additional trainers available as needed. To ensure each trainee receives proper training, the total number of seats in each session is limited to twelve.

All new TCI clients are eligible to receive three days of initial software training at TCI's San Diego training center for up to three persons during the first six months following installation of PTMS. The cost of this initial training is covered by your first year software use fee. Sending new PTMS users to San Diego is beneficial in that it eliminates common workplace distractions and interruptions and ensures optimal instruction using both generic data and your own company data. At your option PTMS training at your location can be done by one TCI trainer for an additional per diem fee, plus expenses.


What does TCI charge for its technical support?

Nothing. The cost of both your initial training in San Diego and your ongoing 24/7 telephone support is covered by TCI's annual software use fee, as is the cost of all future software upgrades and enhancements.


I pay property taxes in only a few states. Is PTMS available for just certain states at a reduced cost?

PTMS automates property tax compliance for all states. To make PTMS cost effective to both large and small users, TCI's annual software use fee is based on the number of personal property tax returns and/or real property parcels processed through the software. You control how little or how much the software is used. If you wish to use PTMS on a limited basis, you will be charged for only that amount of use. Since there is no initial capital investment required to license PTMS, the less you use the software, the less pay for its use.


Can PTMS be installed in the middle of the tax filing season?

Yes, PTMS can be installed at any time of the year. PTMS is useful throughout the tax year for filing tax returns, validating assessments, paying tax bills and as an ever ready source of data for audits and appeals. Because PTMS is completely automated, it is a simple matter to "catch up with the tax season" regardless of when the software is installed by simply re-processing asset data for those states for which tax returns have already been submitted. With PTMS, it is so easy to re-process previously filed tax data that many new PTMS users elect to do so (even when the software is installed after their tax filing is done) to facilitate processing of pending tax bills and to create comparison data for the coming year.
